We are currently seeking a Practice Manager to provide operational and administrative leadership for our Discover and Elevate programs. This is an ideal role for a systems-minded professional who enjoys problem-solving, working across teams, and making processes run more efficiently — all while supporting a powerful mission and a compassionate, team-oriented culture.

About the Role

As Practice Manager, you will oversee daily administrative operations related to client services, staff support, scheduling, insurance coordination, and regulatory compliance. You will play a key role in managing systems that support quality service delivery — from intake and credentialing to billing, documentation, and accreditation — and will act as a liaison between families, clinical staff, and external stakeholders.

You will also take the lead in organizing internal processes, maintaining state licensing and accreditation standards, and supporting staff through onboarding and operational coordination. While all major decisions and changes require Program Director approval, this position is ideal for someone who can take initiative, propose improvements, and help move systems forward.

This role is located at our Hudson, MA office.

Responsibilities Include:

  • Managing daily operations across multiple program sites
  • Overseeing client intake, documentation, insurance verification, and scheduling
  • Supporting staff credentialing, onboarding, and compliance documentation
  • Leading the coordination of licensing and accreditation efforts
  • Maintaining billing and scheduling systems (EMR and practice management software)
  • Ensuring HIPAA compliance and proper CPT code usage
  • Drafting communications, managing internal tracking systems, and taking meeting minutes
  • Providing exceptional customer service to families, caregivers, and team members

What You Bring:

  • A strong commitment to Crossroads Continuum’s mission and values
  • At least 3 years of experience in healthcare, behavioral health, or healthcare administration
  • Proven ability to manage operational systems and improve workflows
  • Knowledge of insurance billing, HIPAA, licensing, and accreditation requirements
  • Familiarity with CPT coding in behavioral health or ABA services
  • Proficiency with Microsoft Office Suite, DocuSign, Adobe Acrobat, and EMR systems
  • Strong customer service, communication, and organizational skills
  • High school diploma required; Associate or Bachelor’s degree in a related field preferred
